End of Year Procedures

On the Navigation Bar, select USERS › USER ROLES › STUDENTS.

Part 1: Promote, Retain, Graduate Students

  • Role: District Administrator, School Administrator
  • Time frame: Can start after the last day of school year, but MUST be completed by September 14.
  1. On the Navigation Bar, select USERS USER ROLES STUDENTS.

  2. Select the END OF YEAR ACTIONS button.

  3. On the End of Year Actions page, make selections in the School and Class dropdowns and select GO to generate the list of students for the selected school and class.

  4. Select the PROMOTE, RETAIN, and GRADUATE options for one or more students.

Part 2: Preserve Classes for Next Year

  • Role: District Administrator, School Administrator
  • Time Frame:

    • Start: Any time up to 15 days prior to End of Year date
    • End: End of Year date

    This is when archiving starts. Preserved classes will not be archived

  • The End of Year date is the date set in the Admin My District page
  • These classes will be available for next year and will have no students in them
  • Only to be done for classes that teachers want to keep

Why preserve classes?

  • Classes will be available for next year with the courses and customizations.
  • Customizations include things like reordering, custom assessments, and shown/hidden content.
  • When preserving a class, all customizations are preserved. The teacher will not have to create customizations from scratch every year.
  • Data that is archived but not preserved will only be available through reports.
  1. Click MANAGE, then CLASSES.

  2. Click the pencil icon to the right of the class that you wish to archive.

  3. Make sure the box Make available in next year is checked.

  4. Click SAVE, then OK.
